1. Are There Any Additional or Hidden Fees?
This question may not be the most romantic, but it can save you from an unpleasant surprise later.
A venue’s starting price doesn’t always represent the complete cost of the event. Sales tax, service charges, and other fees can add up, so it’s important to know exactly what’s included before signing a contract.
“One of the most important questions couples should ask is about complete pricing upfront,” Moore says. “It offers transparency and allows us to walk through every cost, from sales tax to service charges, so there aren’t any surprises.”
Ask for an itemized estimate and make sure you understand each charge. When you know the full cost from the beginning, you can compare venues fairly and make smarter decisions about the rest of your wedding budget.
2. What Is the Backup Plan for Bad Weather?
An outdoor ceremony surrounded by West Virginia’s natural beauty can be unforgettable. Unfortunately, the weather sometimes has plans of its own.
“West Virginia’s weather can be very unpredictable, so having a backup plan is essential,” Moore says.
If you’re considering an outdoor ceremony or reception, ask what happens if rain, wind, or another weather issue develops. Will an indoor space be reserved? When will the decision to move the event be made? Who will handle the transition?
Knowing there’s a clear backup plan can take much of the stress out of watching the forecast.

3. Can We Bring Our Own Vendors?
Maybe you already have a photographer you love. Perhaps a friend recommended an amazing florist, or there’s a particular band you’ve always imagined playing at your reception.
Before booking a venue, find out whether you can bring your own vendors or must choose from an approved list.
“We have a list of trusted vendors, but we’re happy for couples to bring their own professionals as well,” Moore says.
A venue’s preferred-vendor list can be a helpful starting point, especially because those professionals already know the property. But having the freedom to bring your own team can make it easier to create a wedding that reflects your style and priorities.
Be sure to ask whether outside vendors must meet any insurance requirements or pay additional fees.
4. How Will Guests Move Through the Event?
It’s easy to focus on how the venue looks in photos. But it’s just as important to think about how your wedding will feel for the people attending.
How far will guests need to walk between the ceremony, cocktail hour, and reception? Will older relatives and guests with mobility limitations be able to move around comfortably? Are overnight accommodations available for those who don’t want to drive home after the celebration?
